Job Title: Administrative and Financial Coordinator

Job type: Full time remote with biweekly work day on site (Durbanville)

Work hours: Core hours from 9am to 2pm with the remaining 3 hours as flexi hours

Salary: R21 000 - R24 000

We are a micro-school consisting of two cottage schools and an online school that offers homeschool education within a structured school environment.

We are seeking a highly organized and detail-oriented individual to join our team as an Administrative and Financial Coordinator. This position plays a crucial role in ensuring the smooth functioning of our organization's administrative and financial operations. The ideal candidate will have a strong background in clerical work, debt management, budget management, and possess excellent communication skills.

Responsibilities:

Perform a wide range of clerical duties, including electronic filing(minimum filling at the hub on the days working on site), data entry, and document management.

Manage debt and credit control processes to ensure timely payment and minimize outstanding debts.

Monitor and maintain budget records, track expenses, and assist in financial forecasting.

Serve as the primary driver of payroll activities, ensuring accurate and timely processing of employee payments.

Update cashflow reports and assist in the management of financial liquidity.

Communicate with accounts receivable and payable, ensuring accurate and timely processing of invoices and payments.

Handle invoicing activities, including creating and sending invoices to clients and following up on outstanding payments.

Assist in purchasing activities, including sourcing suppliers, obtaining quotes, and managing purchase orders.

Manage receipts and invoicing processes, ensuring proper documentation and record-keeping.

Organize substitute teachers and facilitators, arrange payment schedules, and manage contracts.

Coordinate external service providers, such as cleaners/plumbers etc.

Manage rental contracts, including negotiations, renewals, and monitoring compliance.

Requirements:

Proven experience in clerical work and financial management.

Strong knowledge of debt management, budgeting, and payroll processes.

Familiarity with SARS regulations and reporting requirements.

Proficient in using accounting software and Google Suite.

Excellent organizational and time management skills, with the ability to multitask and prioritize.

Strong attention to detail and accuracy in data entry and financial calculations.

Effective communication skills, both written and verbal.

Ability to work independently and collaboratively as part of a team.

Problem-solving and decision-making abilities.

Prior experience in a similar role or industry is preferred.
